Our client is seeking a reliable and organized Operations Coordinator to assist with the daily management of logistics and all supplier and customer activities. In this position, you will contribute in an administrative capacity across the operation of the company.
Reporting to the Directors you will be Responsible for :
Sales support:
- Support Buyers (sales) in preparing information, sampling, quotes, transactions
- Checking if enquiries sent by buyers (Sales) can be met
- Responsibility for ensuring that sales team and accounts are aware of Receivables and Payables − Data & quality of information in operational systems (accuracy, completeness, transparency, justification)
Supplier management:
- Maintain suppliers’ data base and information
- Manage Supplier pricing, documentation, sampling and quotations
- Maintain Supplier KPIs, including Quality, Lead Time and Complaints
- Manage supplier deliveries and shipments
- Payment Management:
- Compile weekly list of overdue payments on both the supplier and customer side
Oversee reporting of overdue receivables and their recovery
- Trade & data maintenance & reporting:
- Reconciliation of customer and supplier accounts
- Maintain Supplier Master data files
- Maintain Customer Master data files
- Maintain files and follow up accordingly
- Manage incoming requests from buyers (sales)
- Manage outgoing requests to suppliers.
- Manage samples, quotations, documents etc from suppliers to buyers (sales),
- Ensure feedback and closure of projects from buyers (sales).
- Maintain Project & logistics file
- Maintain Customer Mapping file
- − Lost projects list – details and analysis
- − Preparation of presentations
Logistics:
- Direct, optimize and coordinate full order cycle:
- Responsible to ensure shipping schedule is achievable and communicated efficiently to all parties. − All documentation required must be handled with precision to reduce delays.
- Maintain & Establish business relationship with freight forwarders.
- Set-up adequate freight price tables for current and historical rates per relevant route / product − Prepare outgoing shipment orders and prepare documents such as commercial invoice, packing lists, etc. − Ensure compliance documents
- Comply with laws, regulations and ISO requirements
- Keep track of quality, quantity, stock levels, delivery times, transport costs and efficiency − Maintain database relating to documents required for logistics/ shipping pertaining to different countries
- Resolve problems concerning transportation, logistics systems, imports or exports, or customer issues − Maintain metrics and analyse data to assess performance and implement improvements
Skill-sets and Requirements
Proven work experience as an Operations Coordinator or similar role
Education & Experience
A Level and or a Tertiary Education would be preferred
