Human Resources Specialist

Our client is looking to employ a Human Resources Specialist to join their growing team. As the Human Resources Specialist you will be responsible to: 

  • Maintains Human Resources files, forms, documentation and information in accordance with company policies and procedures as well as employment laws and regulations;
  • Coordinates various HR processes as directed, and generates appropriate follow-up documentation as required;
  • Ensures data management and integrity are effective at all times in accordance with employment regulations and GDPR;
  • Maintain employee personal files constantly updated and appropriately stored;
  • Assists employees with the interpretation and correct application of Company policies, procedures and programs including the collective agreement, whilst exercising the highest degree of confidentiality and professionalism;
  • Ensures that all regulatory and mandatory practices are followed up such as JobsPlus forms;
  • Administers the generic HR email account;
  • Coordinates leave management including sick leave reporting;
  • Coordinates the overall monthly payroll cycle including but not limited to the time & attendance,
  • mandatory/ad hoc reports, overtime approval, and the year-end processes in liaison with the outsourcing company, ensuring accurate computation within the specific timeframes;
  • Maintains payroll related records and/or documentation in an organised-efficient manner;Coordinates the full recruitment process cycle for assigned positions including on-boarding;
  • Provides administrative support such as coordinating travel and transportation arrangements, and other logistical requirements;
  • Liaise with other stakeholders onsite to ensure administrative support requirements are fully addressed;
  • Handles sensitive information in a confidential manner;
  • Develops and updates administrative systems in an efficient and effective manner;
  • Performs related duties as assigned.

Working hours are from Monday to Friday normal office hours.

Skill-sets and Requirements

  • Keep updated with company policies and procedures & must be including HR policies and procedures, and employment related laws and regulations
  • Monitoring and assuring the confidentiality and proper maintenance of the HR databases and reports
  • Strong interpersonal, organisational and communication skills both verbally and in writing
  • A good command of English and Maltese

Education & Experience

  • Experience with payroll policies, procedures and practices
  • Payroll computation including calculation methodologies such as FSS, NI and other payroll related transactions
  • Proficient user of HRIT applications
