Personal Assistant to Director


Our client requires the support of a Personal Assistant to join their team. This exciting opportunity requires the individual to

  • Assist in the office's day-to-day operations
  • Develop and overseeing the application of office administration policies and procedures in order to maximize results and improve the administration function
  • Assist with various administrative tasks such as managing and maintaining physical and electronic filing systems
  • Assist in the organization of board meetings, organize appointments, and function as a co-ordinator to ensure the smooth running of the office
  • Coordinate work schedules with auditors and other specialists
  • Assist in the preparation of letters, reports, and presentation materials
  • Follow up on current tasks and, if needed, communicate with key team executives across the Group businesses
  • Coordinate and communicate with banks to guarantee timely filing of papers, including:
    • KYC procedures include the gathering of due diligence information
    • Reviewing sanction letters and putting together a report on group facilities
    • Reviewing security arrangements with banks and coordinating property values are two things I'm working on right now
    • Interaction with banks on a daily basis in connection to Group companies
  • Ensure ongoing communication with appropriate local regulatory bodies, assisting in the compilation and timely submission of required documentation
  • Keep track of new notices and regulations in our database
  • Review and update organizational charts, corporate profiles, and other similar duties

  • Professional approach whilst being meticulous, organized and dependable.
  • Excellent communication and organising skills

Education & Experience

  • 'A' Level standard of education is required
  • Proficient use of MS Office Applications
  • Two years experience in Administration and/or Finance related environment
  • Professional level of English & Maltese is a must
