PA to the CEO

  Central Malta  |  €35,000 - €40,000 Annually 

Our client is looking to recruit a PA to the CEO. The chosen candidate will:

  • Efficiently manage the CEO’s daily schedule by scheduling appointments, meetings, and travel arrangements;
  • Optimize the CEO’s time by providing timely reminders, preparing briefs, and serving as the primary gatekeeper for all communications;
  • Oversee and coordinate Executive Committee meetings on a monthly basis, ensuring smooth logistics, scheduling, agenda preparation, and document distribution;
  • Prepare and coordinate materials for other high-level meetings attended by the CEO;
  • Attend meetings as required, take minutes, and ensure follow-up on action items;
  • Draft, edit, and review correspondence, reports, presentations, and other documentation as needed;
  • Assist in organizing and managing internal meetings, ensuring clear outcomes, and following up on key deliverables;
  • Assist the CEO in managing special projects, ensuring timelines and deliverables are met;
  • Provide ad-hoc support on various administrative and operational tasks as required;
  • Handle sensitive and confidential information with the utmost discretion;
  • Manage personal tasks for the CEO with tact and professionalism;
  • Build and maintain strong relationships with internal and external stakeholders including executives, board members, clients, and partners;
  • Act as the first point of contact for inquiries directed to the CEO, managing responses and routing queries appropriately;
  • Support day-to-day office operations to ensure smooth workflows;
  • Provide administrative support for special projects, ensuring efficiency and timely completion.

  • Strong organizational skills with a proactive and detail-oriented approach
  • Excellent communication and interpersonal skills.
  • Ability to manage confidential information with a high level of discretion.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong relationship-building skills with both internal and external stakeholders.

Education and Experience

  • Bachelor’s degree in Business Administration or a related field is given preference.
  • Proven experience as an Executive Assistant or in a similar high-level administrative role is a must.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
