Office Support

We are seeking a proactive and versatile Administrative & Operations Support Executive to join our team. This role is ideal for someone who enjoys a varied workload and is comfortable supporting both office administration and warehouse-related coordination. The selected candidate will play a key role in ensuring smooth day-to-day operations while contributing to the company’s online and marketing presence.

Responsibilities

  • Prepare and issue invoices accurately and in a timely manner.
  • Maintain and update client records and internal documentation.
  • Handle general office administration duties.
  • Assist management with ad hoc administrative tasks.
  • Liaise with warehouse staff to ensure accurate product information.
  • Find clean photographs of products for marketing and website use.
  • Draft product descriptions for submission to the company’s marketing agency.
  • Upload product information and images to the company website.
  • Assist with stock-related administrative documentation where required.
  • Provide flexible assistance across departments as needed.
  • Coordinate with external partners (e.g., marketing agency).
  • Support improvements in internal processes and documentation.

Skills & Requirements

  • Previous experience in an administrative or operations support role.
  • Strong organisational skills and attention to detail.
  • Good written & spoken English and Maltese.
  • Ability to multitask and adapt in a dynamic environment.
  • A hands-on, team-oriented attitude.
  • Self-motivated and able to work independently.
  • Friendly and approachable personality.
  • Practical problem-solver.
  • Comfortable working in a small, close-knit team.
