Office Coordinator and PA

Malta  |  €25,000 - €30,000  

Our company forms part of a larger group of companies operating within various industries. They are currently looking for an Office Coordinator with Personal Assistant duties to provide support to the Executive Directors and also perform general office administrative duties.  The candidate will be a self-motivated and versatile person who can meet the constant changing demands of the Group’s developments and business initiatives.

The successful candidate should:

  • Be able to give executive and general office support to the Executive Directors
  • Be able to deal professionally in person and over the phone with both internal and external clients noting that the candidate is the first point of contact
  • Be highly proficient in the preparation of Power Point presentations
  • Assist the Executive Directors during internal and external meetings, including minute taking
  • Coordinate all the necessary documentation for scheduled Board meetings
  • Be able to manage the executives diaries and assist with travel arrangements
  • Maintain and upkeep office equipment whilst purchasing and maintaining stock levels of general office supplies

Skill-sets and Requirements

  • Be an organised and methodical individual with excellent communication skills both verbal and written
  • Be proficient in Microsoft applications, especially Power Point
  • Hold a good command of the English language, Maltese is preferred
  • Be able to work on own initiative with minimum supervision.
  • Be expected to work under pressure in a competitive environment and towards tight deadlines
  • Must be flexible and already residing in Malta

Education & Experience

  • Previous experience in a similar role is ideal
  • Candidates with a relevant qualification will be preferred
