A client of ours operating within Architecture and Structural Engineering is searching for a Studio Administrator to support the smooth running of the business, on reduced hours basis. The candidate will work 30 hours per week, from Monday to Friday.
Responsibilities:
- Communicating with clients by answering phones and email correspondence
- Attending to the needs of the office and monitoring overall organisation of the office
- Assisting the directors with administrative tasks
- Monitoring payments and client payment processing
- Preparation and posting of invoices
- Organizing meetings and other events
- Assisting with basic accounting procedures including payments receivables and payables, posting of expenses, CIR end of year process, list of accounts and bank statements to accountant, and deposits to bank.
- Conducting errands outdoors when necessary for purchases
- Handling administrative tasks as necessary
The salary range assigned for this role is based on the hourly wage.
Requirements
- Fluency in Maltese AND English is a must
- Excellent verbal and written communication skills
- Ability to multi-task, prioritise and manage time efficiently
- Proficiency in MS Office
- Strong listening and phone presentation skills
- Reliable, punctual, and trustworthy
- Strong organisational skills
Education and Experience
- 2 year prior local administrative or PA experience is a must
- Experience in Xero / Shireburn is highly desired
