Front Office Administrator

€20,000 - €24,000  |  Malta

As the Front Office Administrator, you will be working closely with the CEO and Managing Director making sure of a smooth running of the office front of house and assisting with administrative duties as needed.  Key responsibilities include:

  • Managing the reception desk and switchboard
  • Handling correspondence and mail
  • Answering telephone calls, taking messages and directing calls as needed
  • Accounting duties, including invoicing, postings and handling of petty cash
  • Assisting with posting of newsletters
  • Delivering mail to financial institutions as requested
  • Overseeing the general filing system
  • Creating minutes of meetings and producing presentations for the CEO
  • Organizing a yearly social event
  • PA support: diary management and travel arrangements
  • Controlling office inventory and consumables

Skill-sets and Requirements

  • 2 years minimum experience in a similar role
  • Excellent telephone manner
  • Smart and presentable
  • Organised and attentive to detail
  • Ability to take direction and work with minimal supervision
  • Holding a clean and valid driving license

Education & Experience

  • A-lvl in Accounts would be considered an asset
  • IT proficiency in Microsoft applications:  Word, Excel, Outlook & Powerpoint
  • A very good command of English both verbal and written is a must - fluency in Maltese language will be a major asset
