Administrative Executive


A new role as an Administrative Executive is now available. Helping the company in the day-to-day operation and providing adequate administrative support, your responsibilities will include: 

  • Answering incoming calls, taking messages and routing calls to recipients.
  • Ensuring the general upkeep of the office and providing internal assistance with the preparation of paperwork.
  • Handling outgoing and incoming mail / couriers.
  • Ensuring filing systems are maintained and handling the preparation of archiving.
  • Assisting with preparation of accounts documentation
  • Preparing of Audit deliverables. Liaising with the auditors and obtaining necessary signatures. 
  • Monitoring and ordering inventory of office supplies & equipment.
  • Liaising with suppliers with regards to any orders or maintenance requirements. Scheduling visits and ensuring that all is handled efficiently and billed accurately.  
  • Liaising with Notaries and ordering documentation with the authorities. 
  • Assisting with occasional errands situated in Valletta.
  • Coordinating appointments & meetings.
  • Assisting visitors with their needs and requirements.
  • Booking of accommodation for clients and taxi bookings when necessary.

Skill-sets and Requirements

  • Excellent organizational skills
  • Capable to work under his/her own initiative
  • Positive approach and willingness to learn
  • Excellent written and verbal communication skills (Maltese will be considered an asset)
  • Computer literate with a good knowledge of Office applications and proficient use of email
  • Ability to Multitask and improvise when necessary
  • A strong sense of urgency and commitment to get a job done to a high standard and the ability to meet deadlines
  • Reliable and driven

Education & Experience

  • O' Level standard of education or better is required
  • Prior experience in a similar position will be considered a plus, job training will be provided to the chosen candidate with the right skills and attitude
