Administrative Assistant (Part-Time)

One of our clients, operating in Real Estate, is searching for an Administration Assistant to join their growing team! The chosen candidate will play a vital role in supporting the smooth operations of the office by providing the necessary administrative support. Responsibilities would include:

  • Performing general office tasks, such as answering and directing phone calls, managing emails, scheduling appointments, and greeting visitors
  • Maintaining and updating office files, records, and databases, both electronically and in hard copy format, ensuring accuracy and confidentiality.
  • Coordinating and organizing meetings, conferences, and events, including scheduling, preparing agendas and taking minutes
  • Assisting with managing office supplies, inventory, and equipment, and ensure the availability of necessary resources. 
  • Processing and distributing incoming and outgoing mail and packages
  • Assisting with basic bookkeeping tasks, such as recording expenses, preparing invoices, and tracking payments. 
  • Conducting research, collecting data, and compiling reports as assigned.
  • Collaborating with colleagues to ensure seamless office operations and assisting with ad-hoc tasks as needed.

Skill-sets and Requirements

  • Eligible candidates must be able to work fixed hours from 9:00AM till 1:00PM
  • Strong command of Maltese & English, both written and verbal
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) would be mandatory
  • Excellent organizational, time management, and multitasking skills, with the ability to prioritize and meet deadlines.
  • Strong interpersonal skills, with the ability to work collaboratively in a team-oriented environment
  • Ability to maintain confidentiality and handle sensitive information with professionalism.

Education & Experience

  • Diploma or equivalent is mandatory; additional education/certification in office administration or related field is a plus.
  • Any additional education/certification in office administration or related field is a plus
  • Proven experience as an administrative assistant or in a similar role would be preferred
