Administrative and Personal Assistant

  South of Malta  |  €28,000 - €33,500 Annually 

Our client, specialising in Aviation is seeking a highly organised and proactive Administrative and Personal Assistant to join their team. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to handle multiple tasks efficiently. This role will involve supporting both administrative and personal tasks for their Accountable Manager.

Your responsibilities will include:

  • Assist the Accountable Manager with personal schedules, appointments, and reservations.
  • Draft, review, and manage email and other correspondence on behalf of the Accountable Manager.
  • Assist with employee HR queries.
  • Raise purchase orders.
  • Process time and attendance records, and employee sickness certificates.
  • Distribute employee mail and correspondence.
  • Arrange travel and accommodation, and manage expense reports.
  • Maintain document folders and filing systems.
  • Prepare reports, spreadsheets, and meeting notes.
  • Update department capacity and leave plans.
  • Collect data for performance reports.
  • Prepare budget spreadsheets.
  • Attend meetings, take notes, and update action plans.
  • Manage office and janitor supplies inventory.

Working Hours: Monday - Friday: 0630hrs - 1500hrs


  • Proficient in office management software, including MS Office Suite.
  • Previous experience as an Office Administrator in a similar role.
  • Thorough knowledge of office procedures.
  • Strong organisational skills and attention to detail.
  • Proactive, multitasker, and outspoken.
  • Ability to anticipate needs and a can-do attitude.
  • Excellent written and verbal communication in English.

Education and Experience

  • Preferably holds an MQF Level 3 qualification in Business and Administration or equivalent.
